SUMMARY

We are seeking an experienced Personal / Family Assistant to oversee all aspects of household operations for a private family. This is a true Assistant position and not a nanny position.

The Personal Assistant will supervise a full-time nanny, a full-time housekeeper, and all vendors. Prior private household management experience is required. Candidates should demonstrate strong longevity in previous roles and a proven history of long-term placements.

This is a hands-on role, not a desk job. The ideal candidate is highly organized, detail-oriented, proactive, and willing to assist with day-to-day household tasks when needed.

While childcare is not the primary focus, the role does include backup care for the family’s 4- and 6-year-old children when the nanny is unavailable. The position also requires occasional house and dog sitting while the family travels.

Responsibilities include managing calendars, staff, vendors, inventories, errands, grocery and Costco orders, organization of storage areas, and overseeing operations of both the main residence and guest house.

A minimum of 5 years of experience in similar private households is required. This position is open to local candidates only.



RESONSIBILITIES

  • The Assistant is responsible for the day-to-day management, maintenance, upkeep, and coordination of all household operations across the main residence and guest house.

  • Oversee and supervise household staff, including a full-time nanny and housekeeper, and coordinate all external vendors and contractors to ensure household standards are met.

  • Source, vet, schedule, and manage service providers and contractors for routine maintenance, repairs, and special projects.

  • Work closely with the family and any design, construction, or renovation teams to ensure projects are executed on schedule, within budget, and to the owner’s expectations.

  • Manage household systems and security, including access control, alarm systems, and operational protocols.

  • Create and manage household operating budgets, review and approve invoices, track expenses, and provide regular reporting to the family.

  • Develop and implement preventative maintenance plans for the home, grounds, and all major systems.

  • Oversee household logistics, including errands, purchasing, grocery and Costco orders, inventory management, and organization of storage areas and closets.

  • Coordinate transportation needs as required, including airport transportation.

  • Maintain accurate records of household documentation, vendor agreements, warranties, and maintenance logs.

  • This is a hands-on role. The Assistant is expected to lead by example, step in when needed, and ensure smooth daily operations without relying on constant direction.


REQUIREMENTS

  • Authorized to work in the United States.

  • Valid driver’s license with a clean driving record.

  • Minimum of 5 years of experience in a hands-on, supervisory role within a private household or estate environment.

  • Demonstrated knowledge of residential property systems, maintenance oversight, and vendor management.

  • Seeking a long-term placement and able to demonstrate longevity in prior roles.

  • Non-smoking and non-vaping.

  • Physically capable of performing tasks associated with household and estate management, including occasional lifting and carrying.

  • Highly proficient in Microsoft Excel, Word, email, and calendar management systems.

  • Ability to work independently, exercise sound judgment, and manage multiple priorities without close supervision.

  • Superior command of the English language, both written and verbal. Spanish proficiency is a plus.

  • Outstanding professional references from current and prior positions. References will be verified.
